Why one national price is misleading
A heat pump quote combines equipment, design, labor, electrical work, controls, permits, commissioning, and sometimes duct or envelope repairs. A single national average cannot describe that scope. Two proposals using similar outdoor units may differ because one includes a properly matched indoor unit, electrical upgrades, duct sealing, or low-temperature backup controls.
Treat online price ranges as an early planning tool. A site visit and room-by-room load calculation are more useful than a price attached only to square footage or nominal tonnage.
The largest cost drivers
System configuration and site conditions usually matter more than the logo on the cabinet. Ductless projects are affected by the number of zones and line-set routes. Ducted projects depend on the condition and capacity of existing ducts. Geothermal projects add drilling, excavation, or water-loop design.

Compare proposals on equal scope
Ask each contractor to identify the exact indoor and outdoor model numbers, AHRI matched-system reference, design heating load, selected capacity at design temperature, and assumptions for backup heat. Confirm that permits, electrical work, startup testing, and owner training are included.
The lowest bid can be expensive if it omits work needed for comfort or reliability. The highest bid is not automatically better either. A clear design and commissioning plan makes proposals easier to compare.
Budget beyond installation
Estimate annual electricity using local rates and realistic seasonal performance. Include filter changes, periodic service, possible backup-energy use, and warranty exclusions. Available rebates vary by location and program status, so verify eligibility before purchase rather than subtracting an assumed incentive from the budget.
